Development Assistant for Data and Operations

The Development Assistant for Data and Operations plays a key role in advancing the work of the Museum’s development function as a part of a fast-paced team. Several significant functions this position performs include daily gift entry, the production and coordination of key mailings and reports, and maintenance of the museum’s donor database.

Reporting Relationships: This position reports to the Director of Grants and Development Operations and works very closely with the Membership Services Coordinators and Development Database Assistant.

Basic Functions and Responsibilities including but not limited to:

  • Prepare constituent records for gift entry process and enter gifts
  • Prepare mailing lists, documents and reports using Raiser’s Edge
  • Maintain and extract special interest and special event lists
  • Assist with membership sales processing and fulfillment
  • Serve as back-up for membership fulfillment activities
  • Maintain system-wide tables, assist with system design and trouble shoot with software vendor as directed
  • Assist with special membership or donor-related activities and fundraising events as requested
  • Other duties as assigned

Qualifications:

The position requires three to five years administrative support experience in a development, marketing or customer relations environment. Also required are:

  • Warm, professional interpersonal skills with the ability to work effectively with a range of staff, volunteers, prospective donors and the general public in a shared office space
  • A positive, achievement-oriented attitude and proactive work ethic
  • The ability to maintain the highest level of discretion and confidentiality with sensitive donor giving information
  • Excellent computer skills, with experience using Raiser’s Edge strongly preferred
  • Excellent logic and reasoning skills
  • Strong organizational skills and attention to detail
  • Ability to efficiently handle multiple tasks requiring a high degree of accuracy in a fast-paced environment
